Why keep a PPE register (and how to stop using an Excel spreadsheet)

Keeping a register of your personal protective equipment is not just good practice: for many organizations, it is a legal obligation, and in any case a matter of safety.

The problem is keeping it up over time: having quality follow-up that is regular, unalterable and still reliable 10 years from now.

In the reality of the field, it is an Excel file or a paper register, updated by a single person, with ambiguous columns and changes in rigor whenever the inspector changes. The result: nobody really knows which equipment was inspected, when, or by whom, nor its history beyond a few years.

Import your data into EPI Manager

Whether you use a competing software or an Excel spreadsheet, you can easily migrate to us!

If you are coming from EPPE centre or Gear Tracker, you can download your data and import it as is. If you work with an Excel file, you can download our template here, and use it to format your data before importing it.

If you have a very large spreadsheet, you can contact us so we can work out together how to bring in all your data. We will be happy to help!

Reliable data

EPI Manager was designed to replace that file with something alive: each piece of equipment has its own life record, filled in as you go — entry into service, inspections, remarks, outings (uses) and returns. You can import your whole existing fleet at once from an Excel or CSV file, without re-entering each item one by one, and quickly create new batches when you renew equipment.

Unlike an Excel file, not all data can be modified once the equipment has been entered: it is not desirable to change a serial number or to rewrite past inspections, … For the sake of transparency, the life of the equipment is tracked and kept, so that during an inspection you can present a complete, unaltered report, proof that your equipment fleet is properly maintained.

Each record can be exported as a PDF with a signature whose authenticity can be verified — useful for an inspection, an internal audit, or simply to keep a reliable record over time.

You can also work as a team, which lets you manage a fleet together and follow changes to the equipment almost in real time!

Guided inspections

Inspections are guided step by step according to the standards in force (in particular NF 72 701 – 2008 and NF 72 701 – 2024), to help you follow up your equipment as well as possible.

And above all: the app sends you an automatic reminder before each upcoming inspection, so you no longer have to remember it yourself.

To get started, the first equipment tier is free. Create your account at https://app.epi-manager.fr.

Designed for the field

One of the main requests from professionals was the ability to work offline, to be able to use the app even in the garage, without Wi-Fi, underground, in remote areas… The EPI Manager app syncs as soon as it can, to keep your work safe.

We make a point of staying as close as possible to everyday practice, so that this tool is as simple and as effective as possible for you: send us your feedback and tell us what you would like!
